Job Summary:

The Assistant Facility Manager is responsible for managing facility operations and maintenance at assigned site including customer service, supervising service providers, administering office services, costs and budgeting, performing quality inspections and reporting activities.

Job Responsibilities:

  • Oversight of facility operations including service providers and in-house provided services (electrical, heating/cooling, plumbing, fire/life/safety systems)
  • Managing contracted services such as cleaning, equipment maintenance and repairs (writing work scopes for contracts, bidding, vendor supervision and paying bills)
  • Develop annual operating expense and capital budgets and completes monthly variance reports
  • Implements the JLL preventive maintenance program and ensures facility work requests are completed on time.
  • Oversee facility projects (renovations, reconfiguration, repairs) and coordinates with Project Manager for improvements and maintenance of the site.
  • Demonstrate superior customer service and maintain excellent relationships with the business unit employees, JLL team, service providers.
  • Work with operations team to provide support the team requires to maintain the facility.
  • Ensure compliance with JLL minimum operation and management compliance programs
  • Provide a safe and secure environment to ensure the up time of all critical environments, 24 hours a day, 7 days a week
  • Coordinate facility risk management programs including health and safety, fire safety and reducing risk of business disruption
  • Seek opportunities to improve facility management processes and reduce operating and project costs without compromising quality.
  • Coordinate facility quality inspections for grounds, janitorial, preventative maintenance and building infrastructure.
  • Oversee site CCMS systems to include work order monitoring and closeout, PM allocation, closeout and reporting

    KNOWLEDGE OF:

  • Standard practices of the HVAC and refrigeration trade.
  • Theory of HVAC and refrigeration systems.
  • Materials, methods and tools used in the operation and repair of HVAC and refrigeration systems.
  • Applicable building codes, ordinances and regulations of State and local authorities pertaining to HVAC, refrigeration and boilers.
  • Air compressors and pneumatic controls.
  • Cooling tower and boiler water treatment.
  • Manual and electrical tools and equipment applicable to the HVAC and refrigeration trade.
  • Welding and soldering techniques.
  • Health and safety regulations.
  • Basic record-keeping techniques.
  • Proper methods of storing equipment, materials and supplies.

    ABILITY TO:

  • Perform skilled mechanical maintenance duties in the inspection, repair, installation and alteration of heating, ventilation, air conditioning and refrigeration systems and related equipment and facilities.
  • Calibrate systems.
  • Perform preventive maintenance and routine servicing of equipment.
  • Diagnose defects, and install, repair and maintain heating, ventilating, refrigeration, and air-conditioning units.
  • Follow oral and written instructions.
  • Operate specialized machinery, equipment and tools utilized in the repair, installation and maintenance of heating, ventilation, air conditioning and refrigeration systems.
  • Communicate effectively both orally and in writing.
  • Understand and follow oral and written directions.
  • Work cooperatively with others.
  • Work independently with little direction.
  • Meet schedules and timelines.
  • Maintain routine records and prepare reports.

    Minimum Experience Required:

  • First or Second Grade City of Houston Stationary Engineers license.
  • Minimum of two years of industry, commercial and or government experience required either in the corporate environment, third party service provider or as a consultant
  • Excellent customer, computer, managerial, verbal and written communication skills
  • Ability to multi-task and effectively organize responsibilities to achieve portfolio goals and objectives
